In this article, we'll share a productivity cheat sheet to help you get the most out of Dynamics 365 Business Central. Let’s dive in!

Master Keyboard Shortcuts

Keyboard shortcuts are a powerful way to increase efficiency. Here are some must-know shortcuts in Business Central:

  • Ctrl+F1: Open Business Central Help.

  • Alt+Q: Access the "Tell Me" feature to quickly find pages or actions.

  • Alt+N: Create a new record.

  • Shift+F12: Open Role Explorer for easy navigation.

  • Alt+O: Add a new note to the selected record.

  • Alt+F7: Sort the selected column in ascending or descending order.

  • Shift+F3: Toggle the filter pane to focus on data filters.

Navigate Lists Like a Pro

If you often work with lists, knowing how to filter and sort data efficiently is key. Save time with these shortcuts:

  • Alt+F3: Filter based on the selected cell value.

  • Ctrl+Alt+Shift+F3: Reset all applied filters quickly.

  • Ctrl+Shift+F3: Toggle the filter pane to focus on totals.

For frequently used filters, save them as views to avoid repetitive setup and enhance your workflow.

Supercharge Your Search Capabilities

The search function in Business Central is both flexible and efficient:

  • The search feature is case-insensitive and works only on visible columns.

  • Filtering is case-sensitive and can search across all fields.

Advanced filters are available for more complex searches, like combining formats (e.g., "5599|8100..8490") or using filter tokens like "%mycustomers" for specific record types.

Leverage Filter Characters

Save time with these filter characters:

  • Interval: Use "22..24" to find records between the 22nd and 24th of the month.

  • Either/or: Use "1200|1300" to find numbers matching either 1200 or 1300.

  • Case-insensitive search: Use "@man" to find all instances of "man" regardless of case.

Streamline Data Entry

Speed up data entry with these shortcuts:

  • F8: Copy the value from the cell above to the current cell.

  • Ctrl+Insert: Insert a new line in documents, such as sales or purchase orders.

  • Ctrl+Shift+Enter: Skip to the next Quick Entry field for faster navigation.

You can also customize Quick Entry fields to seamlessly move between necessary fields.

Use the Built-In Calculator

Did you know that Business Central has a built-in calculator? You can perform calculations directly in numeric fields, like entering "19+19" to get "38." This feature is great for managing complex pricing or inventory entries.

Autosaving and Focus Mode

Business Central’s autosaving feature ensures you never lose your work. Use Focus Mode to maximize your document view and work without distractions:

  • Ctrl+Shift+F12: Toggle Focus Mode for an expanded view of document lines.

Customize Your Workspace

Tailor your workspace to match your needs:

  • Double-click column headers to auto-fit them for easier viewing.

  • Alt+F6: Expand or collapse field groups to streamline your workspace and reduce clutter.

Flexible Date and Time Entries

Entering dates and times has never been easier. For example, use "w" to add the work date or "t" for today’s date. You can even specify periods like "P1" for the first accounting period, making date management straightforward.
